Frequently asked questions

Frequently asked questions about Copilot.

  • This is THE number-one risk of a poorly prepared Copilot deployment. Copilot can access ALL the files a user already has rights to — including content accidentally overshared on SharePoint, Teams or OneDrive over the years. Without a prior audit, Copilot exposes oversharing instead of acting as a productive assistant. Our methodology always includes: a Purview audit of existing permissions, a scan of broadly open SharePoint sites, the rollout of Sensitivity Labels and DLP, and enabling Restricted SharePoint Search (RSS) where needed. This is non-negotiable before any pilot.

  • Yes. Microsoft 365 Copilot operates inside the trust boundary of your Microsoft 365 tenant (hosted in Canada). Your data never leaves your tenant, is not used to train the public OpenAI models, and remains subject to the same Purview classification and DLP policies as your existing SharePoint and Teams documents. Microsoft is certified SOC 2 Type II, ISO 27001 and ISO 27018, and the platform complies with Law 25.

  • Microsoft 365 E3 or E5, properly classified data (Purview Sensitivity Labels), access governance in place (Conditional Access, MFA, guest management), a completed SharePoint oversharing audit, and an adoption plan prioritized by business role. We systematically assess your Microsoft 365 maturity before deployment. Without this foundation, your Copilot investment won't produce a measurable ROI.

  • Adoption is Copilot's number-one challenge. Most deployments don't reach 30% active usage at 6 months for lack of change management. Our approach: (1) selecting 5 to 10 priority use cases per department, (2) contextual training by role (HR, Finance, Sales, Marketing, Legal), (3) trained internal champions, (4) weekly usage measurement via Viva Insights, (5) continuous adjustment during the first 90 days. A 4-to-6-week pilot on 20 to 50 users validates the use cases before scaling.

  • Microsoft 365 Copilot is less prone to hallucinations than public LLMs because it is grounded in your data via Microsoft Graph (RAG architecture). But it remains imperfect: it can misinterpret an instruction, miss context, or present an answer with misleading confidence. Our method: (1) training users in prompt engineering, (2) governance of source-data quality, (3) an 'always verify, never blindly accept' culture, (4) integration into the internal usage policy. Reliability depends as much on your data as on Copilot itself.

  • For a pilot (20 to 50 users with priority use cases): 4 to 6 weeks. For a full deployment including oversharing preparation, Purview classification, change management and adoption measurement: 3 to 6 months depending on your size and Microsoft 365 maturity. We always proceed in phases (preparation → pilot → measurement → progressive rollout). No big-bang rollout all at once — that's a guaranteed adoption failure.

  • Yes, via Copilot Studio. We design custom agents grounded in your business data: an HR assistant connected to your internal policy, a support agent connected to your knowledge base, a sales copilot connected to your CRM, a legal agent connected to your case law. Each agent respects the permissions and Purview classification of the user querying it. For more advanced use cases (complex business integration, large-scale data processing), we combine Copilot Studio with custom Azure OpenAI.

  • According to the Forrester TEI Copilot study (Microsoft, 2024) and the results observed across our clients: 2 to 5 hours saved per user per week, with the greatest effect on document-heavy roles (managers, HR, sales, finance, legal). The calculator above gives you a quantified estimate. The real ROI depends heavily on the quality of your data and the level of adoption: without preparation and structured support, a Copilot investment can produce a negative ROI.
